About Last Mile Food Rescue
Last Mile Food Rescue (LMFR) is a Cincinnati-based nonprofit founded in 2020 on a simple but powerful premise: food insecurity is a logistics problem. To date, we have rescued more than 18 million pounds of food, delivered nearly 16 million meals, and prevented 40 million pounds of CO₂e from reaching landfills. We operate a staff of approximately 25 people and are in an active growth phase, including a Dispatch as a Service (DaaS) model designed for national replication.

We are a lean, high-performing team. We do not carry overhead for its own sake — which is exactly why this engagement matters. We are transitioning project management responsibilities from a dedicated PM role to a director-led model supported by Monday.com, and we need expert help to do it right.

Engagement Overview
We are seeking a skilled Monday.com consultant to support three distinct workstreams over a 4–6 week engagement:

Description
1. Board Architecture & Setup
Audit our existing nonprofit account. Design and build a standardized board template using a current active project as the foundation. Establish naming conventions, column standards, and dashboard structure for executive visibility.
2. Director Training
Facilitate two – three 90-minute working sessions with 4–6 directors. Sessions are hands-on: directors leave with their own live boards. Focus on ownership, status hygiene, cross-functional coordination, and light automation.
3. Executive Orientation
One 60-minute session with the CEO, COO, SVP focused exclusively on dashboard reading, portfolio-level visibility, and a weekly review workflow. No board building — just confident, efficient oversight.

Deliverables
We expect the following tangible outputs from this engagement:

•      A documented board architecture standard (template board + naming/column conventions)
•      One fully built board for an active LMFR project, used as the organizational model
•      An executive dashboard configured for portfolio-level visibility across active initiatives
•      Director training delivered across two live sessions, with boards built during session
•      A one-page “Quick Reference” guide for casual/occasional users (staff who execute tasks)
•      A brief written summary of recommendations for ongoing platform governance

Skills & Qualifications Sought
Required
•      Monday.com certified or demonstrably expert (3+ years active platform use)
•      Experience designing board architecture for teams of 15–50 users
•      Proven ability to facilitate adult learning in a working-session format — not just demo-and-watch
•      Strong listening and facilitation skills; ability to adapt to our actual workflows, not a generic template
•      Experience working with nonprofit or mission-driven organizations preferred
Preferred
•      Familiarity with Monday.com’s Nonprofit Program and its Pro plan feature set
•      Experience building executive dashboards that aggregate across multiple boards
•      Ability to configure basic automations (status-triggered notifications, due date reminders)
•      Prior work with operations, logistics, or program management teams

What We’ll Provide
To set the contractor up for success, LMFR will provide:

•      Access to our existing Monday.com nonprofit account and all current boards
•      A briefing document on LMFR’s organizational structure, active projects, and director roles
•      Access to a current project board as the reference model for our desired structure
•      Scheduling coordination and staff availability for all sessions within the agreed timeline
•      Prompt feedback and a designated internal point of contact throughout the engagement

How to Respond
Please send the following to Eileen Budo at eileen@lastmilefoodrescue.org:

•      A brief description of your Monday.com experience and relevant engagements (2–3 paragraphs or a short deck)
•      One or two examples of board architecture or training work you’ve delivered (screenshots or links welcome)
•      Your proposed approach to this engagement — how you would sequence the work
•      Your hourly rate and estimated total hours
•      Your availability to begin within the next 2–4 weeks

We are a mission-driven team that moves fast and values directness. We’re not looking for the most polished proposal — we’re looking for the right fit.
