JOB DESCRIPTION FOR FULL-TIME EMPLOYEE
PHILANTHROPY COORDINATOR
Cardinal Land Conservancy Inc. (“CLC”) is an Ohio non-profit corporation whose mission is: “To preserve natural habitats, waterways and productive lands we love in southwest Ohio.” Cardinal works in seven counties in southwest Ohio to preserve agricultural lands through conservation easements as well as purchasing lands important for conservation to own and manage for the public benefit. We continuously seek to attract new members and donors through communications and events throughout the region.
The Philanthropy Coordinator is an entry level position in the Philanthropy Department with room for professional advancement within CLC.
Philanthropy Coordinator Job Responsibilities include but are not limited to:
– CRM and Communication Software Management- Manage CRM database to ensure clean, accurate donor data for development reporting. Update communication software with new donor information and maintain organized segments for targeted communications.
– Gift Tracking- Monitor P.O. Box for donations and membership renewals, enter gift and donor information into CRM, draft gift acknowledgements, reconcile gift records with finance department. Generate monthly fundraising reports.
– Membership Support- Assist the Philanthropy Manager to grow and maintain membership by doing outreach in all forms-verbal, written, electronic. Electronic communication includes engagement on social media as well as website creative input and updating. Coordinate new-member-welcome communications from Board members.
– Fundraising/Development Support- Assist the Executive Director and Philanthropy Manager with implementing the fundraising plan and activities. Assist with organizing and running membership or outreach events (logistics). Assist with grant research and tracking and donor prospecting. Assist with production of newsletter and web content.
– Development Committee Support – Assists Development Committee Chair and Philanthropy Manager with the creation of monthly meeting agendas. Distribute monthly Committee agenda and record the meeting minutes. Prepare virtual and in-person meeting environments. Ensure proper tracking and document storage regarding minutes, packages, resolutions, etc. to be in compliance with accreditation requirements.
Philanthropy Coordinator Qualifications/Skills
– Exceptional attention to detail. Employee should have the skills to identify duplicate values in the donor database and modify them as necessary.
– Exceptional ability to multi-task and track development activities.
– Effective written and verbal communication. Should be able to produce written materials for a variety of audiences and occasions. Must be prompt with communications to board, staff, and donors.
– Well organized with commitment to maintaining a structured to do list and prompt execution of weekly/monthly/quarterly tasks.
– Demonstrated interpersonal skills, diplomacy, and patience. Must communicate in a professional manner with the Board, staff, partners and stakeholders.
– Facilitation Skills. Employee will be expected to delegate tasks to board members and work alongside Philanthropy Manager.

– Demonstrated ability to problem solve and proven willingness to learn.
Education & Experience
– Bachelor’s Degree or equivalent work experience relevant to this position preferred.
– Two years’ experience in data management and business communications preferred.
– Proficient with office software including Microsoft Outlook, SharePoint, Word, Excel, and Teams. Experience with DonorPerfect and ConstantContact a plus.
Work Hours and Benefits
– This position is full-time, with an hourly wage of $20.00-$23.00 per hour and 40 hours per week. Pay is every two weeks. Hours are expected to be worked at the office with some flexibility to work from home when necessary. The main office is located in Loveland, OH. Professional development opportunities are encouraged. Health and retirement benefits are offered for employees working 30 hours per week or more. Approved travel expenses will be reimbursed each pay period. This employee is classified as a non-exempt, at-will employee.
