Position Summary:
The Engagement & Operations Administrator is a full-time (40 hours per week) position responsible for managing the daily operations of Oxbow, Inc., a nonprofit land trust dedicated to land conservation and environmental stewardship. Reporting directly to the Executive Director, this role provides essential administrative support, coordinates membership and donor communications, manages records for accreditation, assists with fundraising activities.
Primary Responsibilities
1. Organizational Operations & Accreditation Support
- Manage administrative operations.
- Maintain digital and physical recordkeeping systems.
- Assist in preparing and updating Land Trust Alliance (LTA) accreditation documentation.
- Ensure the secure storage and backup of critical legal, financial, and governance documents.
2. Office & Administrative Management
- Oversee day-to-day office logistics including mail, supplies, equipment, and general office management.
- Coordinate and manage necessary equipment needed to run the office.
- Coordinate meeting logistics, travel arrangements, and event support.
- Serve as the internal point of contact for administrative needs and communications.
4. Financial & Fundraising Support
- Support the Treasurer by verifying and tracking invoices, payments, and documentation of services.
- Track and report donations from events such as the Birdathon and merchandise sales.
- Prepare regular reports on membership and fundraising outcomes for internal use and Board review.
5. Communications & Digital Presence
- Manage and update the Oxbow website, Facebook page, and other communication platforms.
- Help develop and distribute digital and printed outreach materials.
- Ensure timely, clear, and engaging communication with the public and stakeholders.
6. Community Outreach & Representation
- Support event setup, tabling, and interaction with attendees at outreach events.
- Foster positive relationships with community members, partner organizations, and supporters.
Qualifications
- Bachelor’s degree is required, preferably in nonprofit management, environmental studies, communications, business, or a related field.
- Minimum 5 years of experience in nonprofit administration, office management, or similar roles.
- Strong communication and interpersonal skills; confident speaking on behalf of the organization.
- Highly organized and able to manage multiple responsibilities independently.
- Familiarity with land conservation or environmental nonprofit work is a plus.
- Solid proven experience, knowledge and ability to efficiently use Microsoft Office products such as Word, Excel, PowerPoint and other office software.
- Experience with QuickBooks Online
Physical & Mental Requirements
- Oxbow is a land conservancy organization and as such includes many acres of rough terrain. This hands-on position will require exposure to uneven walking surfaces, heat, sun, rain, insects and wildlife.
- See, hear and successfully communicate — including the ability to speak, write and read with comprehension.
- High energy level, comfortable performing multi-faceted projects in conjunction with day-to-day activities.
- Physical requirements include sight, hearing, and sitting for four plus hours per day.
- Ability to move freely about in the Oxbow Nature Conservancy
- Lift up to 40 pounds.
- Valid Driver’s License and driver’s Insurance.
- Ability to pass background check.
